Preview and copy your SDR sending-account signature, or manage client signatures when your role allows editing.

Overview

Signatures uses the selected client. Internal SDRs receive My client signature, a view-only preview of the client default resolved for an eligible sending account. They can copy the rendered signature but cannot edit or send tests. Other roles retain their existing editor or view-only layout. Authorized editors can use the company details, default selection, custom editor and test-email steps below.

How to use this page

  1. Preview and copy your signature as an SDR

    Choose the correct client, then Settings > My client signature. One eligible sending account is selected automatically; with multiple accounts, choose Sending account. Confirm the sender details, company, links and loaded logo. Select Copy signature and paste normally into the assigned Gmail account’s signature settings to retain formatting. Check the pasted result before saving in Gmail. If the logo is missing after pasting, use Select signature, then Ctrl+C or Command+C to copy the highlighted preview. If the preview image has not loaded, wait for it or ask your trainer to check it before copying. Needs confirmation disables both copy controls; missing eligible accounts require your trainer or strategist to confirm the mailbox. Copying does not change the saved CRM signature or send an email.

  2. Set the company details

    For authorized editors: In Company Details, enter the client's website (it autosaves) and upload or remove the company logo. These feed the signature so links and the logo appear correctly.

  3. Choose Default or Custom

    For authorized editors: Use the two mode buttons. Use a Default lets you pick from the shared default signature templates, each shown as a live preview card. Custom Signature opens the editor to build your own.

  4. Build a custom signature

    For authorized editors: Give it a name, then edit in the Visual editor using the toolbar: Bold, Italic, Underline, text color, Insert Link, upload or insert an Image by URL, and a horizontal line. Switch to the HTML tab to paste or hand-edit raw HTML. Click a merge-tag button to drop a placeholder like the sender's name, title, or phone into the signature.

  5. Preview and save

    For authorized editors: The preview shows the signature with merge tags resolved, including sender name, email, title, and phone when those values are configured on the selected mailbox. Confirm it looks right, then click Save Signature. A Saved confirmation appears; the button stays disabled until a default is selected or the custom content is not empty.

  6. Send a test email

    For authorized editors: Click Send Test Email, pick which connected sending account to send from, enter a recipient (yours is prefilled) and subject, and send. This delivers a real email so you can see the signature in a live inbox.

  7. Check image sizes and narrow layouts

    For authorized editors, Image sizes offers 200px, 320px, 450px and 600px presets, Original after the image loads, and Custom width. Enter a custom width and press Enter or leave the field. Proportions stay locked. Larger images are allowed. Show narrow preview displays a 320px content area for checking readability and sideways scrolling; email apps may render differently. Review any warnings, then save the signature to retain edits.

What the buttons do

Website
For authorized editors: The client site URL used in the signature. Autosaves as you type.
Upload / Remove logo
For authorized editors: Adds or clears the company logo shown in the signature.
Use a Default / Custom Signature
For authorized editors: Switches between picking a shared default template and building your own signature.
Visual / HTML
For authorized editors: Toggles the custom editor between the visual toolbar and raw HTML editing.
Bold / Italic / Underline / Color
For authorized editors: Standard formatting for the selected text in the visual editor.
Link / Img / URL / HR
For authorized editors: Insert a hyperlink, upload an image, insert an image from a URL, or add a horizontal line.
Merge tag buttons
For authorized editors: Drop a placeholder such as sender name, title, or phone that fills in per sender at send time.
Save Signature
For authorized editors: Saves the selected default or your custom signature. Disabled until there is something to save.
Send Test Email
For authorized editors: Sends a real test email from a chosen account so you can preview the signature in an inbox.
Copy HTML
In other view-only layouts, expands saved signature HTML for manual copying. The SDR preview instead provides Copy signature and Select signature for rendered content.
Sending account
For SDRs with multiple eligible accounts, chooses the mailbox whose details fill the preview.
Copy signature
Copies the resolved formatted signature after preview images load. Unavailable while confirmation is needed; check the result after normal paste into Gmail.
Select signature
Highlights the complete rendered signature for Ctrl+C or Command+C. Unavailable while confirmation is needed.
Image sizes
Adjusts each available image using a preset, Original or Custom width. Save the signature afterward.
Show narrow preview / Hide narrow preview
Shows or hides a 320px content preview without sending email.

Common questions

From the selected mailbox's Email Accounts settings. Insert {{senderName}}, {{senderTitle}}, or {{senderPhone}} where each value should appear, and the tag fills in for the mailbox used to send the email.
If your role allows editing: Start with a default template for a clean, on-brand look. Switch to Custom only when you need layout or wording the defaults do not cover. Either way, set the website and logo first so they render.
If your role allows editing: Use the preview (merge tags are resolved there), then Send Test Email to yourself and check it in a real inbox, since email clients can render HTML differently.
If your role allows editing: In Default mode you must select a template; in Custom mode the editor cannot be empty. Once either is set, Save enables.
{{senderPhone}} inserts the phone value saved for the selected mailbox in Settings > Email Accounts. If no phone is configured, the tag resolves to an empty value.
SDRs can view and copy signatures but cannot modify or test-send them. Ask an authorized editor for a needed change.
It previews the client default for the selected sending account. Campaign-specific signatures or sender-name overrides can differ.
Ask your trainer or strategist to confirm the approved signature or mailbox. Gmail does not fill CRM placeholders automatically. Do not use an incomplete or sample identity.
Copy signature checks that preview images have loaded before copying. Wait for the logo to appear, or ask your trainer to check the image. Loaded logos keep their proportions in the formatted copy. After normal paste into Gmail, inspect the sender details, links and logo before saving.
The recognized legacy confidentiality paragraph and its empty separator are omitted from the SDR preview and Gmail copy. This does not edit stored templates or change platform outbound signatures; other signature wording remains.
