Overview
Platform Video Conferencing stays within the selected client workspace for authorized clients and employees. Create reusable Internal team links or With Deal links for one of the client’s sales opportunities. Use the single Previous meetings list to review recordings, transcripts and shared notes. SalesHive’s internal CRM conference workspace remains separate. On an eligible prospect call, Show Prospect Our View explicitly shares the current deal brief, Discovery, Coach, live internal notes and AE Sales Notes with everyone connected to that meeting. The shared sales view is read-only: Next Steps, note editing and CRM action links stay unavailable to attendees. Stop showing our view ends sharing. Leaving as the presenter also ends it, and rejoining does not restore it. Allow a few seconds for changes to appear.
How to use this page
Start a new meeting
Select Add new meeting. Choose Internal for your client team or With Deal and Your sales deal for an opportunity in this client workspace. The selected client stays fixed. Choose an optional time, then Create Link.
Share or open the reusable link
When the link is ready, select Copy to share it, Done to return to the archive, or Open Meeting to enter the green room. The link stays reusable until the meeting is canceled. There is no separate recurring-meeting checkbox.
Check the green room
On wider screens, device settings sit to the left of the full-frame camera preview. On narrow screens, the preview sits above the device settings. The preview keeps its shape. The recording notice, Cancel and Join meeting stay outside the scrolling settings area, so you can reach them without scrolling to the bottom. Choose your microphone, speaker, and camera. On supported Chrome and Edge browsers, the Speaker menu routes call audio to the selected headphones or output device. On supported browsers, apply None, Light blur, Strong blur, or an available backdrop for this call. Background processing happens on your device and requires a supported WebGL2 browser. The green room checks microphone access before Join meeting and keeps Join meeting disabled during a failed check. Select Retry microphone or choose another device if needed. Participants enter voice-first with the microphone on and camera off by default. On supported Chrome and Edge browsers, Join meeting also opens the enabled floating camera overlay. A host-specific exception can suppress automatic opening, and an explicit Settings opt-out is always respected.
Use the in-call controls
Use Mute or Unmute, Start video or Stop video, Background, Share, Music when available, Settings, Chat, People, recording controls when authorized, and Leave in the bottom dock. Start video uses one LiveKit camera request to prompt for browser permission and publish the camera selected in Settings. A blocked, missing, busy, or unavailable camera produces a recovery message instead of a silent failure. Background choices apply to the current call and switch on the local camera without replacing the track. Share screen and Share screen + audio can open the enabled floating camera overlay before capture begins; Share audio only does not. Settings can disable, reopen, or close the overlay. Camera tiles show the full frame by default. Turn off Show full camera frame to crop cameras to fill their tiles. Open Chat to send a message or web link to the room. After the message is delivered, SalesHive saves it to this exact meeting occurrence for Meeting Chat in Notes.
Mute, unmute, and recover audio
Select Mute to stop sending microphone audio. The control changes to Unmute. Select Unmute to restore the same LiveKit microphone path and its existing processing. If unmute fails, follow the message for blocked browser access, no microphone, another app using the device, or Settings recovery. Use Reconnect microphone or Settings > Restart microphone if the track still does not recover.
Leave or close the occurrence
Select Leave when you are done. If other human participants remain, their call stays live and host controls transfer when needed. If you are the final human participant, SalesHive closes the current occurrence automatically, finalizes its recording and notes workflow, and keeps the reusable meeting link available for a fresh call. Closing the tab, refreshing, or losing the connection starts an eight-second reconnect grace. If no human participant returns, that exact occurrence closes. Silent recording, notes, or AI workers do not keep an empty call active.
Use shared Notes and Transcript
On an eligible SalesHive-hosted linked client or prospect call, use the shared command center beside the video stage. On a pre-signature prospect call, Notes are labeled Shared with everyone, read-only and organized as Your SalesHive strategy recap. It selects supported goals, SalesHive fit, the recommended approach, engagement expectations, open decisions, and agreed next steps from spoken conversation, delivered meeting chat, and the prior shared document. Meeting Chat preserves each delivered sender, time, message, and supported clickable web link separately from the recap and speech-only Transcript. Select Copy shared notes or Download shared notes for the current participant-safe document. Open Transcript to review timestamps, search spoken text, filter by speaker, add browser-only bookmarks, copy a line, or download the current text. Scrolling back, searching, or choosing one speaker pauses automatic follow until you select Jump to latest. Active-client and onboarding shared workspaces keep their existing controls, and switching tabs does not restart transcription. Live transcription follows your selected published microphone and stops capturing it while muted or unpublished. Changing the microphone reconnects capture to the selected input. Check the displayed transcript status if speech is missing; a connected video call alone does not prove transcription is working.
Adjust devices and noise cancellation
Select Settings to switch microphone, camera, or speaker, restart a problem microphone, and control display preferences. On supported Chrome and Edge browsers, choosing a non-default speaker can open the browser output-permission picker. A confirmation message names the speaker now carrying call audio. Leave Noise cancellation on for ordinary calls and turn it off for music or instruments. Show full camera frame starts on so each camera is letterboxed instead of zoomed or cropped; turn it off to crop to fill. Keep everyone in grid does not stop a new remote share from opening enlarged. It applies after you select Show workspace, when it keeps cameras and the shared screen in the gallery. On supported Chrome and Edge browsers, Floating camera controls the always-on-top participant window and Open floating camera reopens it from the current click.
Raise a hand or send a reaction
Select Raise hand when you want to speak. The control changes to Lower hand, a hand badge stays on your participant tile until you lower it, and raised participants move to the top of People. Select Reactions and choose Thumbs up, Applause, Heart, Laugh, Celebrate, or Thinking. The reaction appears briefly on your tile for everyone in the room. Hand raises and reactions do not change the meeting record or recording.
Control Buzz as an employee
Authorized signed-in employees can use the off-by-default Buzz switch on supported Internal, client, onboarding and prospect calls. Turn it on explicitly, then begin a finalized utterance with Hey Buzz and your question, or say Hey Buzz to arm the next utterance. Ordinary conversation does not summon it. Turn it off to remove it. Clients and signed-out guests do not receive this switch. The general AI Rep remains unavailable; recording, Transcript and silent Notes remain separate.
Choose an archive view
The archive initially includes all accessible meeting categories for the selected client. Select Meetings with SalesHive Team, Internal Meetings or Meetings with Prospects to narrow it, then use search and media filters.
Search the meeting archive
Search title, client, or host, then select Search. Use All sources, All recordings, and All transcripts to narrow the results. The archive is scoped to the meetings available in the selected client workspace.
Review recordings and transcripts
Select a meeting title for its details. Watch opens a ready recording, and Transcript opens a ready transcript. Meeting titles and linked records open in a new tab so an active call stays open. Calls record by default, and the active Recording indicator stays compact in the call header. In an archive transcript dialog, select Copy all to copy the complete stored transcript to your clipboard. A toast confirms success or reports when browser clipboard access fails. Select Download to save the exact displayed transcript as a plain text file named from the meeting title. The dialog stays open, and compact screens keep both actions available as labeled icons. New SalesHive Video archive transcripts reuse the finalized live speech captured for that exact meeting occurrence and preserve its speaker names. SalesHive does not transcribe the recording again. If live speech was not captured, an available recording remains playable but does not automatically produce a replacement transcript. Completed historical transcripts remain unchanged.
Open the recording and notes follow-up
If an authorized SalesHive host separately sends a participant follow-up, open its private recording and shared-notes link. Platform does not open the employee follow-up review after leaving or ending a call.
Use the host join notice
When another participant first connects, the active host receives a SalesHive Notifications email with the participant name, meeting title, and Join meeting link. The notice is based on a confirmed room connection. Reconnecting to the same occurrence does not send another notice.
Present a remote screen share
On any supported meeting, every remote screen share opens enlarged in presentation mode, including when Keep everyone in grid is enabled. The shared screen uses the full stage and participant tiles move into a compact overlay. If the meeting has a command center or shared workspace, it collapses to a Workspace rail. Select Show workspace to return to the side-by-side meeting layout. If Keep everyone in grid is enabled, that restored view keeps all cameras and the shared screen together. Select Maximize shared screen to return to the full-stage share. The choice affects only your view and resets when sharing stops.
Play background music once
When Music is available in a call, open it and choose a track. Choices include Amber Drift, Window Light, Quiet Orbit, Coastal Air, After Hours Piano, Sunday Bossa, Velvet Keys, Blue Hour and four SalesHive tracks: Easy Day, Sunshine, In the Groove and Golden Hour. Everyone on the call hears the music. Keep Music volume low and use Stop when needed. Tracks play once and stop at the end; they do not loop automatically.
Schedule a meeting link for later
Select Add new meeting and enter an optional title. Schedule for later uses your device timezone; leave it blank to meet now. Select the meeting type and required context, then Create Link. Copy the resulting link into your calendar invitation. Creating a link does not send a calendar invitation for you.
Find previous meetings
Use Previous meetings as the single meeting archive for the selected client. Search or filter the list, then open an available meeting title, recording or transcript. The separate Meeting links panel is no longer shown.
End a meeting from its shared link
When you join a reusable meeting link while signed in as an authorized host, including a client host, open End meeting and choose End for everyone to close the current call for all participants. This host permission is separate from recording permission. Guests and non-hosts use Leave. If ending fails, the call stays connected and an error explains the problem. The shared-link page shows the ended-call screen after success; it does not open the employee follow-up review.
Read a sales view shared by your rep
When your SalesHive rep explicitly shares an eligible prospect sales view, a read-only notice appears. Review Brief, Discovery, Coach and Notes as available. You cannot edit the notes or use employee Next Steps. The sales panel disappears after the rep stops sharing or leaves.
Use the private employee teleprompter
Employees in supported SalesHive Internal or deal-linked Sales, Potentials, Onboarding and Active calls can use the private Teleprompter above the bottom dock. Use Teleprompter to hide or show it independently of Buzz. On external calls it suggests a spoken response after finalized external speech, clears when that participant speaks again, and waits with Listening for the next question. On SalesHive Internal calls it shows Side commentary, Only you: occasional short, lighthearted observations based on recognized participants in the internal call, including a participant using a guest link, not instructions to say aloud or sales coaching. Listening for a good moment or silence is normal, especially during serious or sensitive discussion. Clients and guests do not receive this reader. It does not speak, book meetings, send messages or assign work. It hides during your own or another employee screen share, or while a sharer is unidentified. After showing it again, it waits for fresh supported speech.
Identify who is speaking
A gold outline appears around an unmuted participant tile when speech is detected, including a camera-off tile. It fades promptly when speaking stops and clears immediately when the microphone is muted. Screen-share tiles do not receive this outline. No setting needs to be turned on.
Send and recover an in-call chat message
Open Chat in the call dock, enter a message or web link, and select Send message or press Enter. The composer holds your text while sending and clears it after live sending succeeds. If sending fails, read the inline error, keep Chat open, check the connection and try again. During reconnection, wait before retrying. Keep messages within the 4,000-character limit; split a message if the app reports it is too long. Chat drafts are not a saved document.

- Selects the CRM deal for a With Deal meeting.
- Create Link
- Creates the reusable meeting link with the selected context.
- Copy
- Copies the ready meeting link.
- Open Meeting
- Opens the green room so you can check devices before joining.
- Join meeting
- Confirms the microphone check, applies the selected speaker when supported, enters voice-first, and opens the enabled floating camera overlay on supported browsers unless the meeting suppresses automatic opening.
- Retry microphone
- Rechecks microphone access in the green room after a permission or device error.
- Speaker
- Chooses the headphones or speaker used for call audio on supported Chrome and Edge browsers. The default speaker remains available.
- Meetings with SalesHive Team
- Filters the archive to meetings with the SalesHive team. The initial archive is not limited to this category.
- Search
- Applies the text entered in the meeting search field.
- Watch
- Plays an available recording from the meeting archive.
- Transcript
- Opens an available transcript from the meeting archive.
- Internal Meetings
- Shows calls hosted within your company.
- Meetings with Prospects
- Shows calls linked to prospects in your CRM.
- Mute / Unmute
- Mutes a live microphone or restores it through LiveKit. A failed unmute reports permission, missing-device, device-in-use, or recovery guidance.
- Reconnect microphone
- Reacquires a usable microphone and verifies a live published track when the initial input did not start or was interrupted.
- Share
- Opens screen, screen plus audio, or audio-only sharing. Video sharing can also open the enabled floating camera overlay; audio-only sharing does not.
- Settings
- Opens microphone, camera, supported speaker output, microphone restart, noise cancellation, full camera frame, the post-Show workspace gallery preference, and supported floating camera controls.
- Raise hand / Lower hand
- Keeps or clears a visible hand badge on your participant tile and prioritizes raised participants in People.
- Reactions
- Opens six quick reactions that appear briefly on your participant tile for everyone in the room.
- Hide command center
- Collapses the shared live-notes workspace into a slim restore rail for more video space. Its directional control stays fully visible inside the command center header.
- Show command center
- Restores the shared live-notes workspace without interrupting note updates.
- Background
- Applies blur or a replacement backdrop to the local camera for the current call on supported WebGL2 browsers. Failure returns safely to None.
- Enlarge
- Focuses a visible shared-screen tile for your view only, including when Keep everyone in grid is on.
- Unpin
- Returns your viewer-local focused screen share to the gallery layout.
- Floating camera / Open floating camera
- Enables, closes, or reopens the supported always-on-top participant window. The overlay contains cameras, camera-off names, mute, and Chat.
- Show full camera frame
- Starts on and letterboxes cameras so the complete image is visible. Turn it off to crop cameras to fill each tile.
- View recording and notes
- Opens the private seven-day participant page for the exact eligible deal-linked recording and its shared notes.
- Download recording
- Downloads the recording from the private participant page without exposing the storage location.
- Open the deal room
- Opens the linked deal room for shared materials and next steps from the participant follow-up.
- Leave
- Leaves the active call. If you are the final human participant, the current occurrence closes automatically and the reusable meeting link stays available for a fresh call.
- Transcript (live)
- Shows the shared speaker-labeled live conversation. The same session continues while Notes is open.
- Join meeting (email)
- Opens the reusable meeting link from the host notification that confirms another participant connected.
- Start video / Stop video
- Starts the camera selected in Settings with one LiveKit capture request, or stops the live camera. Browser, device, and in-use failures show a recovery message.
- Maximize shared screen
- On any supported meeting with a remote share, gives the shared screen the full stage and moves participants into a compact overlay.
- Show workspace
- Returns from full-stage presentation to the meeting workspace or side-by-side participant layout beside the active share.
- Copy shared notes
- Copies the current read-only participant note on a pre-signature prospect call.
- Download shared notes
- Downloads the current read-only participant note as a text file.
- Search transcript
- Filters finalized prospect transcript lines by speaker name or spoken text.
- All speakers
- Filters the prospect transcript to one available speaker or returns to the full conversation.
- Bookmark transcript moment
- Marks a prospect transcript line in the current browser only.
- Copy transcript moment
- Copies the timestamp, speaker, and text for one prospect transcript line.
- Download transcript
- Downloads the current participant-safe prospect transcript as a text file.
- Jump to latest
- Returns to the newest live transcript line after manual review paused automatic follow.
- Copy all
- Copies the complete stored archive transcript to the browser clipboard and reports whether it succeeded.
- Download (archive transcript)
- Downloads the exact displayed archive transcript as a plain text file named from the meeting title.
- Music
- Opens full-length background tracks and volume controls when available. Everyone hears playback, and each track stops at its end.
- Schedule for later (optional)
- Sets the meeting time in your device timezone. Leave blank to meet now.
- End meeting
- For an authorized signed-in host, opens the choice to leave or end the call for everyone, including when joining through a shared link.
- End for everyone
- Closes the current call for all participants after host authorization succeeds. A failure leaves the call connected; the shared-link page does not open employee follow-up review.
- Teleprompter
- Employee-only toggle for private external-call suggestions or SalesHive Internal side commentary. Hidden during employee or unidentified screen sharing, independently of Buzz.
